Privacy Policy
Last updated September 4, 2026 · Version 2026-09-04
The short version. You give us your athlete's film and a few facts about them. We strip out anything identifying before a coach ever sees it. Coaches never learn who your athlete is, and you never learn which coaches reviewed them — that anonymity is the product. We don't sell your data, and we don't share your athlete's film with anyone outside the coaches doing the evaluation.
1. What we collect
Information you give us
- Athlete details — name, graduation year, position, and sport.
- Your contact details — the parent or guardian email address you enter at checkout.
- Film — the link you provide to your athlete's highlight tape or game footage, and the footage itself.
- Your consent record — that you confirmed you're the parent or guardian, the version of these terms you agreed to, and when.
- Anything you send us by email, including film links sent after checkout.
Information collected automatically
- Usage analytics — pages viewed, videos played, how far you scroll, and which steps of the intake form you complete. We use this to understand whether the site explains the product well.
- Referral source — the campaign tag or referring site that brought you here, stored in your browser so we can tell which channels actually reach families.
- A draft of your intake form, stored in your own browser so you don't lose your place. It never leaves your device until you submit.
Information we never collect
We do not collect or store payment card details. Checkout is handled entirely by Stripe; we receive only a confirmation that an order was paid, along with the order reference. We also do not ask for your athlete's home address, school, date of birth, or Social Security number, and you should not send them.
2. How we use it
- To produce the evaluation you paid for — anonymizing the film, routing it to coaches, and compiling their scorecards and video feedback.
- To deliver that evaluation to you and answer your questions about it.
- To improve the product — understanding which parts of the site and the evaluation itself families find useful.
- To measure which marketing channels work, in aggregate.
We do not use your athlete's film or information to train machine-learning models, and we do not sell personal information to anyone.
3. How anonymization works
Anonymity runs in both directions and is the core of what you're buying.
- Before a coach sees the film, we remove the athlete's name, school, club, and location from the footage and its file name, and we do not pass along your contact details. Coaches receive the film, the sport, the position, and the graduation year — the facts needed to evaluate, and nothing more.
- Coaches are never identified to you. You receive their evaluations without names or institutions.
Anonymization is a manual process performed by a person. We take it seriously, but we cannot guarantee that footage is unidentifiable to someone who already knows your athlete — a jersey number, a distinctive field, or a teammate's voice can carry information we can't strip. If you're concerned about a specific piece of footage, tell us before you send it.
4. Who sees your information
| Who | What they receive | Why |
|---|---|---|
| Evaluating coaches | Anonymized film, sport, position, graduation year | To perform the evaluation |
| Stripe | Your email and payment details, which you enter directly with them | Payment processing |
| Formspree | Your intake form submission | Delivers your order to us by email |
| Google Analytics | Anonymous usage events | Understanding site performance |
| Google Ads | Anonymous advertising events, if advertising is running | Measuring ad performance |
| Meta | Anonymous advertising events, if advertising is running | Measuring ad performance |
| Netlify | Standard web server logs | Hosting this site |
| YouTube | A video request, when you press play on an embedded video | Sample and testimonial video playback |
Videos on this site are embedded through YouTube's no-cookie domain, which does not set tracking cookies unless you actually play a video.
We may also disclose information if legally required to do so, or to protect someone's safety. If TrustedEval is ever acquired, information would transfer with the business, and we'd tell you first.
5. Children and minors
TrustedEval is sold to and used by adults. Our service is for parents, legal guardians, and athletes aged 18 or older. We do not knowingly allow anyone under 18 to create an order, and we do not knowingly collect personal information directly from children.
The evaluation is, however, about a minor in most cases. That's why:
- Every order requires an affirmative confirmation that the person ordering is the athlete's parent or legal guardian, or is 18 or older. We record that confirmation with the order.
- We collect the minimum about the athlete needed to evaluate them — no address, no school, no date of birth.
- The athlete's film is anonymized before any coach sees it.
- Delivered evaluations are not public, not indexed by search engines, and not listed anywhere. They're reachable only by the private link we send you.
If you believe a child has given us personal information without a parent's involvement, contact us and we will delete it.
6. How long we keep things
| What | How long |
|---|---|
| Your delivered evaluation and its videos | 12 months from delivery, then archived or deleted |
| Submitted film | 12 months from delivery |
| Order and consent records | 7 years, for tax and accounting purposes |
| Analytics data | 14 months |
| Your intake draft in your browser | Until you complete an order or clear your browser data |
You can ask us to delete your athlete's film and evaluation sooner. We'll do it, though we'll keep the minimal order record required for accounting.
7. Your choices
- Access, correction, or deletion. Email us and we'll handle it. Depending on where you live, you may have a legal right to these; we extend them to everyone regardless.
- Withdraw consent. You can ask us to stop an evaluation and delete the film at any point before delivery.
- Opt out of analytics. We honor the Global Privacy Control signal: if your browser sends it, our advertising tags stay off and we turn off advertising features in our analytics. Most browser tracker-blocking extensions will also block our analytics entirely, and the site works fine without them.
- We do not sell or share personal information as those terms are defined under California law.
8. Contact
Questions, requests, or concerns: info@trustedeval.com. We aim to respond within five business days.
9. Changes to this policy
If we change this policy in a way that affects what you agreed to, we'll update the version date above and, for material changes, email anyone with an active order. The version in effect when you placed your order is the one that governs it.
